Is an AI Chatbot Worth It for a Small Business?
Where an AI chatbot genuinely saves hours, where it annoys customers, and what one costs to run at small volumes.
A chatbot is worth it when the same question arrives forty times a week and the answer is written down somewhere. It is not worth it when every enquiry is different, or when the person asking is already upset.
Where it works
- Opening hours, location, parking, fees, documents required.
- Course, product or room details that already exist in a brochure.
- Order and booking status, when it can read your system.
- First-line triage – collect the details, then hand a complete summary to a human.
Where it fails
Complaints. Negotiation. Anything medical or legal. And any situation where the bot cannot say “I do not know” gracefully – a confident wrong answer costs you more than no answer at all.
The technical shape of a good one
Do not let a model answer from memory. Give it your own documents, make it retrieve the relevant passage, and instruct it to answer only from that. Log every conversation where it fell back to a human – that log is your list of documents to write next.
What it costs
Building one over your existing content is typically a two to three week project. Running it at a few hundred conversations a month costs a few hundred rupees in API charges. The saving is measured in the hours your staff stop spending on the same six questions.
One more thing: put it on WhatsApp, not just the website. In India that is where the conversation already is.
